Common questions from coaching practice operators

How do prepaid coaching packages work in the booking flow?

A coaching package is configured as a purchasable credit block — for example, six sessions or twelve sessions. When a client purchases a package, the system records that credit balance against their profile. They can then book individual sessions from your available slots, and each confirmed session deducts one credit. They see their remaining balance in their booking history. When the balance reaches zero, they need to purchase another package before they can book further sessions.

Can the pre-call intake form be different from the session intake form?

Yes. Each appointment type has its own intake form configuration. The discovery call form might be longer and more exploratory — goals, current situation, what has been tried before. The session booking form for returning package clients might be a short check-in or omitted entirely since the initial intake is already on file. You configure each appointment type independently.

What happens to a session credit if a client cancels last-minute?

Your cancellation policy is configured with a window — for example, 24 hours before the scheduled session. A cancellation inside that window forfeits the session credit according to your policy. A cancellation outside the window returns the credit to the client's balance, and they can rebook. The policy applies automatically to every cancellation; you are not making individual decisions about each one.

Can clients self-schedule sessions from their package?

Yes. Once a client has purchased a package, they can view your available slots and book sessions themselves from your booking widget. You set your availability — which days, which times, and how far in advance clients can book — and clients choose from within those parameters. You do not need to propose times or manage a back-and-forth scheduling exchange for each session.

Is the discovery call bookable without requiring a credit card?

Yes. The discovery call is configured as a free appointment type — no payment is collected at booking. The client books by providing their name, email, and completing the intake form. No credit card is required for the discovery call itself. Payment is only collected when the client decides to purchase a coaching package following the discovery conversation.
