Booking software for food tour operators
Capture dietary requirements at booking, enforce per-session caps, and coordinate venue stops without chasing email confirmations before every tour.
Food tours live and die on logistics. You are coordinating a moving group across multiple venues, each with its own arrival window and portion count. When a guest books, the information they give you — dietary restrictions, group size, any accessibility needs — needs to flow through to the right places before the tour starts. A booking system that just captures a name and a payment is doing about a third of the job.
Why food tours have distinct booking requirements
The key difference between a food tour and most other guided experiences is the venue coordination layer. Your stops are expecting a specific number of guests at a specific time. If your headcount is wrong by three people because a booking came in late or a cancellation wasn't tracked, the kitchen is short or there are plates going to waste. That coordination loop between your booking system and your venue partners is where a lot of operators lose time.
Dietary requirements on food tours are not optional information. A guest with a severe allergy cannot simply "skip that course" at the venue — the venue needs to know before they arrive, and you need to know before you confirm the booking. Operators who capture this as a freeform note after payment are managing unnecessary risk. The intake question should be in the booking form itself, before checkout completes.
Session caps on food tours also have a different texture than on, say, a hiking trip. The cap is set by the capacity of your smallest venue stop, not by group preference. If your artisan cheese shop can handle twelve guests at once, your tour cap is twelve, regardless of how many people want to book. That constraint needs to be enforced at the booking level, not managed after the fact.
What to look for in a booking platform
- Dietary and allergy fields in the booking form. These should be required or optional fields in checkout, not a notes box guests can skip. The responses need to be visible in your operator dashboard before each tour.
- Per-session capacity caps that close automatically. Set the cap at the bottleneck venue and the platform enforces it. Guests who find a full session should see the next available date, not a broken experience.
- Configurable deposit terms. Food tour operators often require a deposit to confirm a booking because venue commitments are made ahead of time. The platform needs to handle deposit collection and balance reminders automatically.
- Guest manifest export before each tour. A downloadable or printable list of confirmed guests with their dietary notes, organised by session, saves significant pre-tour admin time.
- Direct booking on your own site. Guests who book through an OTA marketplace often have their data held by the marketplace. Direct booking through your site means you can follow up, ask for reviews, and build repeat business.
- No per-booking platform fee. Food tours often run at accessible price points to reach a broad audience. A percentage-fee platform takes the same cut whether the booking is $40 or $140, and at high volume that becomes a real cost.
How Sojournii fits food tour operations
Sojournii lets you build intake forms with custom fields attached to each experience. Dietary requirements, allergy notes, and any other guest-specific information are captured during checkout and stored against the booking record. You can see the full guest manifest for each session from the operator portal before the tour departs.
Session caps are set at the experience level and enforced automatically. When a session fills, it closes. Guests who land on a full session see the next available date rather than an error. Deposit amounts, balance-due dates, and cancellation terms are configured once per experience and applied to every booking without manual follow-up.
The booking widget embeds on your own website. Guests book through your brand, not through a marketplace that retains the guest relationship. Sojournii is a flat monthly subscription with Stripe card processing at cost and no per-booking platform percentage. Full details at sojournii.com/pricing and sojournii.com/features.
Common questions
How do I capture dietary requirements before the tour?
Sojournii supports custom intake fields on the booking form. You can add a dietary requirements question as a required field, so guests cannot complete checkout without answering it. The responses are stored against each booking and visible in the session manifest in your operator portal.
Can I set the session cap based on my smallest venue?
Yes. Each experience in Sojournii has a configurable capacity per departure. You set it to whatever the binding constraint is for your tour. When that number is reached, the session closes automatically.
How does deposit handling work for food tours?
You configure a deposit amount and a balance-due date at the experience level. Sojournii collects the deposit at checkout via Stripe and sends an automated reminder when the balance is due. If a guest cancels, the configured refund policy is applied without manual calculation.
Can I see all guest details for a session before the tour?
Yes. The operator portal shows a guest manifest for each session, including names, contact details, guest counts, and any custom intake field responses. You can view it on screen or export it before each departure.
What happens if a venue partner needs to change the count last minute?
You can adjust the capacity of a specific departure from the portal and, if needed, contact affected guests directly from the booking records. Sojournii does not manage venue partner communications automatically — that coordination remains with you, but the guest contact information is always accessible in the portal.
